Do you ever feel overwhelmed with the amount of tasks you need to complete in a day? Do you often find yourself making lists and prioritizing your tasks in your head? You are definitely not alone!

Prioritizing tasks is a crucial skill to have in order to increase productivity and stay organized in both your personal and professional life. The ability to prioritize helps you to complete tasks more efficiently resulting in higher satisfaction and less stress.

By organizing tasks in order of importance, you can ensure that you are completing the most important tasks first, allowing for missed deadlines and essential tasks to be completed without sacrificing other responsibilities.

You can always use a paper-based to-do list, but I prefer to use a digital to-do list. It is easy to manage and I can prioritize on-the-go with my iPad.

Below are tips on how I prioritize tasks with my digital to-do list

#1 Create an ultimate list

Start by writing down all the main tasks you need to accomplish. Do not think about priority or deadlines at this point. Just focus on writing down everything you need to complete. Not overthinking at this stage helps to ensure completeness of your to-do list.

#2 Determine the importance of each task

Once you have a full list of task to complete, determine how important each task is. Give it a rank of between 1 to 10, 1 being the most important and 10 being least important. When you run through your to-do list, you can start by working on tasks that are numbered 1 and then followed by 2 and so on.

#3 Set deadlines for each task

To make sure you stay on track on each task, set deadlines for each task. For those with strict deadlines, make sure you note down that it is a non-negotiable deadline. Remember to set realistic deadlines for all items so that you stay on track.

#4 Use time block technique

Time blocking is a technique where you schedule specific blocks of time for different tasks throughout the day. I like using this method because I can realisticly decide how much time I need to complete each task. It also gives me a sense of satisfaction if I could complete all task I’ve set for the day instead of having a long list of to-do.

#5 Assign rest time

Set time for breaks and meals. Taking breaks can help you re-energize and avoid burnout. Schedule breaks throughout the day to give your mind and body a chance to rest.

#6 Reassess your to-do list regularly

Priorities can change, so it is essential to reasess and adjust your to-do list regularly. It is best to review your to-do list at the beginning of the day. Everyday, you should pick out tasks that you want to work on and use a time block system to ensure that you complete the day’s tasks.

I usually create multiple to-do list for different items – example I have a to-do list when I’m packing for traveling so I know I will not miss out any item. I also have a to-do list when I am preparing for festivities like Chinese New Year.
